A good wedding vendor inquiry gives a supplier enough detail to judge availability and scope. It also asks for comparable information so you can assess the reply. These original templates cover ten supplier types, plus a follow-up and a polite decline.
Replace every bracketed field before sending. Choose the version for the work you need, keep the message brief and mention why that particular supplier interests you.
Copy a vendor inquiry template
These templates prepare messages. You choose the recipient and send them yourself.
Copying a template does not send it. The tool does not store an address or submit an inquiry. Use your own email or the supplier's preferred inquiry form.
What belongs in the first message
Include your names, proposed date, venue or location, expected guest count and the service you want. If the date or venue is undecided, state that rather than inventing certainty. A supplier may need several possible dates to answer usefully.
Describe the budget's scope: a food-only amount differs from a total including staff and rentals. A photography budget differs if it includes an album, travel and a second photographer. Share the range you are considering only if it helps the supplier assess fit.
Ask for availability, relevant packages or an itemized proposal, inclusions, exclusions and the next step. A concise first message can start the conversation; it does not need to resolve the entire contract.

Follow-up email template

Polite decline email template

Tailor the scope to each service
For a venue, the central questions are the event spaces, capacity for your floor plan, access hours and the complete rental/package scope. Use the venue tour checklist for the detailed follow-up.
For photography and video, describe locations, coverage and important moments. A photographer's shot-list brief can follow after an initial conversation; sending an exhaustive list in the first email can obscure the actual priorities.
For catering and cakes, clarify whether you need food only or a complete service. Mention the meal format, approximate portions and venue facilities. The menu worksheet and cake serving calculator help develop a more precise brief.
For flowers, specify the major pieces and design priorities rather than naming only an aesthetic. Use the floral worksheet to list quantities, vessels, installation and strike.
For a DJ or band, separate performance from production and MC responsibilities. The music planning template records cues and exact versions later. For beauty, rentals and transport, quantities, locations and readiness times are usually essential to scope.
Share guest needs carefully
A first inquiry can ask whether the supplier can discuss accessibility, dietary or cultural requirements. It usually does not need the names, medical histories or personal circumstances of individual guests.
Use aggregate needs initially, then agree on a private process for necessary details with the relevant supplier. A caterer's statement about accommodations needs clarification for your particular request; the template cannot establish that a meal is safe for someone.
Likewise, describe important family or cultural requirements respectfully and directly. Do not rely on a supplier to infer them from a name or venue.
Follow up with a real decision deadline
The follow-up template restates the date and service and asks whether the supplier can respond by a deadline you actually have. It does not presume a supplier response time or create urgency.
If your date has changed or you have received a more complete brief, include that information. If you have selected someone else, the decline template closes the conversation without requiring a detailed explanation of your decision.
Avoid a large generic email blast. A shortlist with relevant portfolios and clearly matched services is easier to compare. These templates are planning resources, not an automated outreach system.
Compare the replies consistently
Move proposed inclusions and prices into the vendor comparison worksheet. Keep unresolved questions visible and request written clarification before treating an estimate as complete.
